How to prepare a server parts BOM for an RFQ

A mixed list of SSDs and memory should be easy to quote without guessing which quantity or configuration belongs to each item.

What belongs in a multi-part-number quote request?

Use one line per complete manufacturer part number, with a separate quantity for that line. Add the target server or application where relevant and state whether the request is exact-PN only or open to proposed alternatives. How should you organize a mixed SSD and memory list?

Keep SSDs and memory on distinct lines, even if they belong to the same server build. Use a project or node label in the notes to show which items belong together. If the same PN is required for several locations or build phases, state whether the quantity is a combined total or separate line requirements.

A simple text format works: “Full PN | Quantity | Server or application | Alternatives allowed: yes/no”. Replace every placeholder before sending. If a part number is missing, describe that line as an identification request rather than choosing a similar-looking product code.

What should you check before sending the BOM?

Compare the copied PNs with the original label, purchase record or approved component list. Spreadsheet formatting can hide characters or change how an identifier is displayed. Keep suffixes intact and check any manually combined duplicate lines.

For replacement parts, note which existing PN must be matched. For a memory expansion, include the installed modules and target capacity per server. For SSDs, add the required interface and physical format when those are known. Unknown details can be discussed with sales; they do not need to be invented to start an inquiry.

How should alternatives appear in the quotation?

Ask for any proposed alternative to be listed alongside, not in place of, the original requested PN. That makes it easier to compare the proposal and review platform suitability before deciding.
